EXHIBITOR INFORMATION EXHIBITOR DISPLAY TIMES Exhibit display time will be available during all meals and breaks on Monday, and breakfast on Tuesday. EXHIBIT SET UP & DISMANTLE Exhibitors may set up on Sunday, October 15 beginning at 3:00 p.m.; all exhibitors are asked to be set-up by 5:00 p.m. Electricity is available for an additional fee. REQUEST LETTERS Request letters and W9 forms are available by contacting the WHPRMS office at WHPRMS@badgerbay.co. SHIPPING MATERIALS Exhibit must coordinate any materials shipped in advance of the event with WHPRMS. Oversized boxes or those weighing more than 50 pounds will be assessed an additional fee. Prior authorization required for shipments over 500 pounds. PARKING Parking charges are based on the prevailing rate at the time of the conference. The current rate is $1.50 per hour, up to a maximum of $17 per day. Parking charges for overnight hotel guests are $15/night for self-park. Additional parking facilities are available across the street at the State Street Capitol ramp (214 N. Carroll Street). If your vehicle is over 6’3”, please contact the hotel for parking assistance prior to arrival. HOTEL ACCOMMODATIONS Reserve your overnight accommodations before September 15, 2023, to receive the WHPRMS group rate of $189. To make reservations, call the hotel directly at 800-356-8293 and request the room block for the “WHPRMS Annual Conference.” REGISTRATION DEADLINE / CANCELLATIONS Please register by September 29, 2023, to guarantee your space and inclusion in program materials. Cancellations and requests for refund must be received in writing and will be subject to a $50 administrative fee. No refunds will be issued after September 29 or for no-shows. SPECIAL REQUESTS If your exhibit requires additional equipment or special set-up assistance, please contact the WHPRMS office. Any special arrangements are made at the exhibitor’s expense. Please include any restrictive dietary needs on your registration form. FIT WITH WHPRMS MISSION This program is designed for WHPRMS members and exhibitors whose products and services align with the WHPRMS mission. All applications for exhibit space will be considered.
